Why did we change the Signatures

In an effort to unify design and information across the company, we have moved to an automated signature based on the template provided by the brand team.  This information will now match what is coming from ADP and will now automatically be applied to all users across the company.

Fields that are used in the signatures

DisplayName

On email creation, display name is automatically set to First Name + Last Name.  

After creation, IT can manually edit these to match any preferred name you would like to display instead of the legal name coming from ADP or add any additional information you may want to display like certification letters.


Title

Title will be matching the title you have in ADP.


Location

Location will be the name of the club or office that ADP has you set to.


Phone

The phone number is handled differently if you're under the club signature or if you're under the Corporate Signature.


Corporate Signature Phone Number:

The Phone number will be a number on your user record in ADP based on a priority list.  First, it will pull from the Office Phone number listed, then the Office Mobile number listed followed by Personal Phone or Personal Mobile.  Make sure you have an Office Number listed if you have an Office Number and don't want to display your Personal Number.

This could be a department number, like how IT and Member Services have their department call number listed.


Club Signature Phone Number:

The Phone number will here will match the Club Phone number for the location you work at, or the ChildCare number for the club you work at if you are the CCTL.


How to update your signature

First, please make sure all information is updated and correct in ADP and then contact IT for any immediate changes.


Update ADP

Check your phone numbers and contact methods on ADP to make sure they are correct.  

When we do an audit, we overwrite a lot of the fields in Microsoft 365 with what is listed in ADP so if it isn't updated in there, it may be reset to what is shown in ADP.


You will find this in ADP under:  Myself -> My Information -> Profile

The two sections to make sure are updated are your Personal Info and your Work Info.  You may be able to update the contact information yourself but anything you can't update like the title or department; you will have to email [email protected] to have them update it for you.


Contact IT

If you made changes in ADP, it will get caught in the next email audit.

If you want immediate changes or you want to change your Display Name, please contact IT by emailing [email protected] or submitting a ticket with the information you want to change.


**We are currently looking at options to actively sync the data between ADP and Microsoft 365 to make the changes in ADP become more immediate in the future.**
